Running into issues submitting subsidy attendance? This article walks you through the most common troubleshooting scenarios so you can get your attendance data uploaded successfully. If you haven't yet set up the integration, start with Manage & Submit Subsidy Attendance Data to get everything connected first.
Upload Issues
Most subsidy submission issues come from one of three places: students aren't selected, attendance has already been submitted for the period, or the attendance data itself is invalid. Work through the steps below to identify and resolve the issue.
Select Students to Upload
If you hover over the option to Select students to upload and nothing happens, the students may still need to be selected.
From your Admin Dashboard, click the Integrations tab and select the Manage button next to CCA Attendance.
Select the Attendance period, Provider ID and select Get attendance data.
Once the students have populated, select the checkboxes next to the students you want to upload. You can select all students by selecting the checkbox next to the "Student" table header.
Once you are done selecting students, you should then have the option to upload the selected students to your portal.
Attendance Has Already Been Submitted for the Period
If the upload is blocked or unavailable, attendance for that time period may have already been submitted.
From your admin dashboard, navigate to the Integrations tab and click Manage next to CCA Attendance.
Click the View Submissions tab, select the Attendance period, Provider ID, and click Get attendance data.
You will then see previous uploads and when it was uploaded. If attendance has already been submitted through Playground, you'll need to upload any remaining attendance directly to your state portal.
🚨 Playground can only submit attendance for a given period once. Any additions or corrections after the initial submission must be made directly through your state's subsidy portal.
Invalid or Missing Attendance Data
Students need valid attendance data in order to be included in a submission. If a student's data is invalid or incomplete, you'll need to update it before uploading.
From your Admin Dashboard, navigate to the Integrations tab and click Manage next to CCA Attendance.
Locate the student whose attendance data needs to be corrected.
Click the plus sign (+) next to the student's name to view their attendance data.
Click Edit to add or edit check in and out times. Click Mark absence to mark the student as absent.
The validity status should then switch from "Invalid" to "Valid".
Resolve Thrown Errors
If you receive a specific error message after attempting to submit attendance data, the error usually stems from the state side rather than from Playground.
🚨 Thrown errors typically indicate an issue with the state's subsidy system, the format expected by the state portal, or a mismatch in your provider information on file with the state. We recommend reaching out to your state subsidy office directly to resolve these errors.
When contacting your state, have the following ready:
The exact error message you received
The time period you were attempting to submit
The students included in the submission
Your provider ID and account information on file with the state
