There are multiple ways to invite parents and guardians to activate their accounts and join your center on Playground. The following article walks through each method. The first three are done from the Administrator Dashboard; the last two are done via the Teacher App.

How to invite guardians via the Administrator Dashboard

Method 1: Batch invite via the Administrator Dashboard

Whether your center has just joined Playground and our team did the work of setting up your center's basic people information in the Administrator Dashboard for you, or if you've just uploaded a new roster, you'll likely want to batch invite a group of guardians to activate their Playground accounts.

To do this, navigate to the Guardians page by selecting the "Guardians" tab under "My School" on the Administrator Dashboard. If your center has student accounts that are not yet associated with an active primary guardian account, you'll see a yellow banner at the top of the page, as illustrated below. Inside the banner, you'll see a blue button that says "Send sign-up link." Click on this button, and Playground will automatically send an account activation link to the emails of primary guardians who have not yet activated an account.

A green notification will pop up to notify you that the emails were successfully sent.

Method 2: Invite guardians by family via a copied sign-up link

This method works well for when you want to invite guardians to a specific student's account, or if a parent can no longer access the email associated with their account.

Start on the "Students" tab under "My School" on the Administrator Dashboard. Navigate to the profile of the student for whom you would like to add a new guardian by clicking on the student's name. You can filter your student list by class using the drop-down menu on the upper right of the table.

You'll be brought to the student's profile page. Click on the "Guardians" tab to reach the Guardians page of the student's profile, then click on the "Copy sign-up" link button on the upper right. You'll receive a notification that the link has successfully be copied. You can now paste this link in any message to the guardian who needs to create an account.

It's important to note that this copied link is unique to the student's profile. In the below example, since the administrator copied the sign-up link while on Sarah Garcia's profile, anyone who signs up for Playground via this link will automatically be added to Sarah's profile.

Method 3: Individually send sign-up emails to guardians

This method works from two different places: the Guardians page on the Administrator Dashboard and the "Guardians" tab on each student's profile.

From the Guardians page, find the guardian you to whom you would like to send an invitation; you can use the search bar to search by their name, or filter by status (signed up, invited, no email) or relationship (mother, cousin, babysitter, etc).

When you locate the guardian's name, click the 3-dot menu at the far right of their row on the table. A dropdown menu will appear with the options to "Edit," "Send sign-up link," or "Delete." Click "Send sign-up link."

A green notification will pop up to notify you that the email was successfully sent.

From a student's profile, navigate to the "Guardians" tab, find in the table the guardian to whom you would like to send an invite, and then click on the 3-dot menu at the far right of their row. A dropdown menu will appear with the options to "Edit," "Send sign-up link," or "Delete." Click "Send sign-up link."

A green notification will pop up to notify you that the emails were successfully sent.

How to invite guardians via the Teacher App

Method 1: Batch invite via QR Code

This method works well for inviting multiple guardians at once to a specific student's account.

On the Dashboard screen of the Teacher App, scroll to and tap on the "Student Roster" tile to reach the Student Roster screen. Find the student whose guardians you're adding by scrolling through the full directory, searching by name using the search bar at the top of the screen, or tapping the "Classroom" button to filter the directory by classroom. When you find the student, tap their name to reach their student profile.

On their profile, scroll down to the guardians section and tap the blue plus sign to the right of the section title. You'll be brought to the Add New Guardian screen. A QR code should appear—this might take a moment. Guardians can then use the camera on their devices to scan this QR code and reach a unique sign-up page that will automatically connect the new guardian's account to this student's profile.

If you want to invite guardians for different students using the QR code method, you will have to repeat these steps for each student profile to ensure the guardians are connected to the correct student.

Method 2: Individually send sign-up emails

This method works well for inviting a single guardian to a specific student's account.

Follow the steps in method above. When you reach the Add New Guardian screen, tap the "Email" field near the bottom of the screen to bring up your device's keyboard. Enter the guardian's email and then tap "Return" to dismiss your keyboard. Then tap "Send Email."

You'll be returned to the student's profile with a notification that the sign-up email has successfully been sent.
