Scheduled reports let you automate any of your saved custom reports to run on a recurring schedule and send directly to whoever needs them. Instead of pulling the same report manually every week or month, you can set it once and have it taken care of.
Schedule a Custom Report
From the Reports tab, click Scheduled reports in the top right corner of the page.
Click Schedule a report to get started. This button appears both in the top right corner and in the center of the page if no scheduled reports have been created yet.
The setup process will open. Under Report type, select Custom report to use one of your saved custom report templates.
Click Next to move to Step 2: Pick a schedule. Under Send this report, select how often you want the report to run:
Daily: Set a Time and Timezone for delivery.
Weekly: Select the day(s) of the week under On, then set a Time and Timezone.
Biweekly: Select the day(s) of the week under On, set a Time and Timezone, then choose whether the schedule starts This week or Next week under Starting.
Monthly: Select the date under On (e.g., 1st of the month), then set a Time and Timezone.
Click Next to move to Step 3: Select recipients. Fill in the delivery details for the scheduled report email:
To: Enter the email address(es) that should receive the report. Separate multiple addresses with commas.
CC (optional) Add any addresses to copy on the email.
BCC (optional) Add any addresses to blind copy.
Subject Enter the subject line for the email (e.g., "Scheduled Report").
Body (optional) Add any details you want to appear in the body of the email.
When you're done, click Finish. You'll be brought back to the Scheduled reports page, where your new report will appear in the list with its schedule, centers, last sent date, next send date, and active status.
View & Edit Your Scheduled Reports
Once a scheduled report is set up, you can view its details, make changes, or take action on it directly from the Scheduled reports page. Click the three dots (. . .) next to any report to see what's available.
View a Scheduled Report
To view the details of a scheduled report, click the three dots (. . .) next to it and select View. This opens the report detail page, where you can see:
Last sent: The date and time the report was last delivered
Next send: The date and time of the next scheduled delivery
Schedule: The frequency and days the report runs
The Report runs table at the bottom logs every attempted and successful send, showing the start time, finish time, status, and any errors.
To access a specific report run, click the three dots (. . .) next to it and choose:
View: Opens the report results directly in Playground
Download: Downloads the report as a file
You can also click Edit in the top right corner of the page to update the report settings directly from here.
Edit a Scheduled Report
To make changes to a scheduled report, click the three dots (. . .) next to it and select Edit, or click the pencil icon next to the report. You can also click Edit from the report detail page. This reopens the setup flow where you can update the report type, schedule, or recipients. Click Finish when you're done.
Send a Report Now
To send a scheduled report outside of its regular schedule, click the three dots (. . .) next to it and select Send now. The report will be delivered immediately to the recipients configured for that report. The Last sent date on the Scheduled reports page will update to reflect the time it was sent.
Mark a Report as Inactive
To pause a scheduled report without deleting it, click the three dots (. . .) next to it and select Mark inactive. The report's status on the Scheduled reports page will update to Inactive and it will stop sending on its scheduled cadence. (IDK if you can reverse that)
You can still click the three dots (. . .) on an inactive report to view, edit, or delete it.
Delete a Scheduled Report
To permanently delete a scheduled report, click the three dots (. . .) next to it and select Delete. You'll be asked to confirm before the report is removed.
🚨 Deleting a scheduled report cannot be undone.
