Scheduled reports let you automate any Playground report, including custom reports, to run on a recurring schedule and send directly to whoever needs them. As a multi-site admin, you can also control which centers each report covers — all of them, a handpicked few, or every center that shares a tag.
Schedule a Report
From your enterprise admin dashboard, navigate to the Reports tab, then click Scheduled reports in the top right corner of the page.
Click Schedule a report to get started. This button appears both in the top right corner and in the center of the page if no scheduled reports have been created yet.
The setup process will open on Step 1: Choose a report. Under Report type, select Standard report to use one of Playground's default reports, or Custom report to use a custom report you have already created.
Once a Report type has been chosen, search and select the specific report you want to schedule.
Fill out the Options, such as Date range and Group. These determine what information is pulled in each scheduled report, and different reports offer different options. Multi-site reports also include two checkboxes:
Display inactive sites: Includes centers that are no longer active in the report results.
Display center tags on each row: Adds each center's tags as columns so you can slice the results by region, owner, or any other tag category.
Under Centers, choose which centers this report should cover.
All Centers: Includes every center in your organization. New centers you add later are picked up automatically, so this is the best choice for org-wide reporting. On the Scheduled reports page, these reports show All sites in the Centers column.
Select center(s): Lets you handpick specific centers. Click the Centers field, then search and select each center you want to include. Selected centers appear as chips you can remove individually.
Select tag(s): Includes every center that matches a center tag. Click Add a center tag, choose a Tag category (e.g., Region or Owner) and a Tag name (e.g., California), then click Add tag. Add as many tags as you need.
Click Next: Pick a schedule in the top right corner to move to Step 2: Pick a schedule. Under Send this report, select how often you want the report to run:
Daily: Set a Time and Timezone for delivery.
Weekly: Select the day(s) of the week under On, then set a Time and Timezone.
Biweekly: Select the day(s) of the week under On, set a Time and Timezone, then choose whether the schedule starts This week or Next week under Starting.
Monthly: Select the date under On (e.g., 1st of the month), then set a Time and Timezone.
Click Next: Select recipients to move to Step 3: Select recipients. Fill in the delivery details for the scheduled report email:
To: Enter the email address(es) that should receive the report. Separate multiple addresses with commas.
CC (optional) Add any addresses to copy on the email.
BCC (optional) Add any addresses to blind copy.
Subject Enter the subject line for the email (e.g., "Weekly Overage Fees — All Sites").
Body (optional) Add any details you want to appear in the body of the email.
When you're done, click Finish. You'll be brought back to the Scheduled reports page, where your new report will appear in the list with its schedule, centers, last sent date, next send date, and active status.
View & Edit Your Scheduled Reports
Once a scheduled report is set up, you can view its details, make changes, or take action on it directly from the Scheduled reports page. The Centers column shows the scope of each report at a glance, and the Active column shows which schedules are currently live. Click the three dots (. . .) next to any report to see what's available.
View a Scheduled Report
To view the details of a scheduled report, click the three dots (. . .) next to it and select View. This opens the report detail page, where you can see:
Last sent: The date and time the report was last delivered
Next send: The date and time of the next scheduled delivery
Schedule: The frequency and days the report runs
The table at the bottom logs every attempted and successful send, showing the start time, finish time, status, and any errors. For each run you can:
Send again: Re-delivers that exact run to the report's recipients
Download: Downloads the report as a file
View: Click the three dots (. . .) next to a run and select View to open the report results directly in Playground
You can also click Edit scheduled report in the top right corner to update the report settings from here, or More actions to delete it.
Edit a Scheduled Report
To make changes to a scheduled report, click the three dots (. . .) next to it and select Edit, or click the pencil icon next to the report. You can also click Edit scheduled report from the report detail page. This reopens the setup flow, where you can update the report type, options, centers, schedule, or recipients. Click Finish when you're done.
Send a Report Now
To send a scheduled report outside of its regular schedule, click the three dots (. . .) next to it and select Send now. The report will be delivered immediately to the recipients configured for that report, covering the same centers as the schedule. The Last sent date on the Scheduled reports page will update to reflect the time it was sent.
Mark a Scheduled Report as Inactive
To pause a scheduled report without deleting it, click the three dots (. . .) next to it and select Mark inactive. The report's status in the Active column will update and it will stop sending on its scheduled cadence.
You can still click the three dots (. . .) on an inactive report to view, edit, or delete it.
Delete a Scheduled Report
To permanently delete a scheduled report, click the three dots (. . .) next to it and select Delete. You'll be asked to confirm before the report is removed. You can also delete it from the report detail page by clicking More actions and selecting Delete scheduled report.
🚨 Deleting a scheduled report cannot be undone. If you only need to pause it, use Mark inactive instead.
