It is essential to understand the status of your payroll, when employees will be paid, and when funds will draw from your account. Please review all sections below to remain up to date.
Payroll Status
Your payroll status will appear in the Status column in Upcoming Payrolls and Recent Payrolls. See the table below for a description of each payroll status.
Draft | The payroll is currently a draft and it must be approved before the approval deadline in order for employees to be paid on time. |
Pending | The payroll has been approved, but it may be reopened if changes are required. The payroll status will move to Processing within 60-75 minutes. |
Processing | This payroll has been approved and is on track for a successful payday. |
Paid | This payroll has been successfully paid to all employees. |
Failed | The payroll has failed and urgent action is required. Please see this article for further instructions to resolve a failed payroll. |
Partially Paid | The payroll payment has failed for one or more employees. Please see this article for further instructions to resolve a partially paid payroll. |
Payroll Processing Time
There are four possible payroll processing timelines. See the table below for important information for each.
Next Day Payroll Processing | Next day payroll is available at an additional cost of $3/employee/month. With next day approval, employers can approve payroll only one business day before the employee payday. Reach out to your account manager to upgrade to next day payroll. |
2-Day Processing | 2-Day processing requires that payroll be approved by 8PM EST, two business days before the employee payday. |
3-Day Processing | 3-Day processing requires that payroll be approved by 3PM EST, three business days before the employee payday. |
4-Day Processing | 4-Day processing requires that payroll be approved by 8PM EST, four business days before the employee payday. This is the default speed for all new employers. |
Processing Speed Upgrades
Employers will be upgraded to 2-day processing after 10 successful regular (not off-cycle) pay runs.
Processing Speed Downgrades
If a payroll fails, employers will be automatically downgraded to 3-day or 4-day processing. After a downgrade, employers can be returned to accelerated processing after 10 successful pay runs.
After two failed payrolls, employers will be permanently transitioned to 3-day or 4-day processing.
Bank Holidays
We love the holidays, but it is important to understand how bank holidays can impact payroll. Banks will not process funds on bank holidays. This can affect paydays, processing times, and approval deadlines.
🚨 Employee paydays cannot be scheduled for bank holidays. If attempting to enter a bank holiday as a payday, you will receive an error message in Playground.
💡 If there is a bank holiday between your approval deadline and your payday, your approval deadline may be moved back by one day.
See here for a full list of all bank holidays.
Payroll Reopen Window
A payroll can be reopened or canceled with 60 minutes of approving the payroll.
💡 If you need to cancel a payroll after the 60 minute reopen window, contact [email protected].
Payroll Debit Timing
The total payroll liability will be debited from the bank account attached to payroll after 7 AM EST on the approval deadline.
