Create & Manage CRM Emails for Enterprise

Create and manage email templates across your enterprise CRM locations

Email templates save time and simplify communication with prospective families. Personalizing them with lead, guardian, student, and site details creates a meaningful experience with minimal effort. When paired with automations, they boost efficiency and ensure consistent, thoughtful engagement.

πŸ’‘ Email templates are shared across your organization. Templates created or edited at the enterprise level are available at every location, and changes made at a location are reflected across the enterprise.


Create an Email Template

Email templates can be simple or stylized. A stylized email often includes elements like your logo at the top, giving it a polished, newsletter-like appearance. In contrast, simple emails consist of plain text, making them an excellent choice for creating a more personal and less promotional tone when communicating with families.

Simple Email Template

  1. From your Playground CRM, click the Marketing tab, and then click Emails.
    ​

  2. Click the blue Add Email button in the top right corner of the screen, then click From Scratch.
    ​

  3. Add a name for your email and select Simple. Then click the blue Add Email button.
    ​

  4. Add a subject to your email and then type the body of the email. You can personalize the email with any properties you have set up in your CRM. Click the white Personalize button to add a property.

    1. Use the paperclip icon to add an attachment to your email.
      ​

    2. You can format text in the email body by highlighting it and using the editor options to bold, italicize, underline, or add a hyperlink.

  5. When you are done, click the blue Save button.
    ​



Utilizing Camber's AI Suggestions

Click on AI Suggestions to have AI generate an email template for you, or to make quick changes. You will have the following options:

Tells Camber to rewrite your message with a warmer, more conversational tone, making it sound approachable, kind, and easier to connect with.

Stylized Email Template

  1. From your Playground CRM, click the Marketing tab, and then click Emails.

  2. Click the blue Add Email button in the top right corner of the screen, then click From Scratch.
    ​

  3. Add a name for your email and select Stylized. Then click the blue Add Email button.
    ​

  4. The stylized email template builder will open. Add a subject to your email by clicking the pencil icon underneath the name of your email. You can also change the name of the email by clicking the pencil.
    ​

  5. You can attach a file to the stylized email by clicking the Attach file button.
    ​

    1. If you want to add Preheader Text (the short summary text that follows the subject line when viewing an email from the inbox), click the Body tab on the right side and find the Preheader Text box underneath the Email Settings section.
      ​

  6. Drag and drop blocks from the right hand side to build out your email.
    ​

  7. To add personalized information based on lead or site properties, drag and drop the Text block.
    ​

    1. Click the textbox to edit the text. Editing tools will appear.
      ​

    2. Click Merge Tags and select which property you would like to add.
      ​


      ​

    3. The merge tag will be added to the text box. Edit the other text to create your message. The content in {brackets} will be populated by the information pertaining to the tag.
      ​

  8. Stylize the email in other ways like adding images, headings, color, etc.

    1. The sent email looks like this (automatically filling in the personalized merge tags with the lead and organization's information accordingly).

  9. When you are done, click the blue Save button.
    ​


Edit, Deactivate, & Delete Email Templates

Edit an Email Template

To edit an email template, click the pencil icon next to the email you want to update. The email editor will open, where you can make changes to the subject line, body, or any personalized properties. When you are done, click Save.

πŸ’‘ If you are updating an email template that is used in an automation, the newly saved version will be used for all future emails.

Deactivate an Email Template

To deactivate an email template, click the three dots next to the email and select Deactivate. The email's status will change to Inactive and it will no longer be sent.

To reactivate it, click the three dots next to the inactive email and select Activate. The status will return to Active and the email will resume sending.

🚨 If an email template is linked to an active automation, it can't be deactivated. Playground will let you know which automation is using it so you know where to make changes first.

Delete an Email Template

To delete an email, click the three dots and then click Delete.

View Email Send History

Click on an email template to view its send history. A table will appear showing each recipient, the time the email was sent, its delivery status, the number of times a lead opened it, and the number of link clicks within the email. At the top of the screen you can see the total number of emails sent, the percent of emails that were opened, and the percent of links that were clicked.

The Status column shows the delivery outcome for each recipient. Use Add filters in the top right corner and filter by Status to quickly surface specific results. The following statuses may appear:

  • Delivered: The email was successfully delivered to the recipient's inbox.
    ​

  • Bounced: The email could not be delivered. This typically means the email address is invalid or no longer active.

πŸ’‘ Filtering by Bounced is a quick way to identify leads with outdated email addresses that may need to be updated.


Send Bulk Emails

Emails can be sent in bulk to saved lists. Easily send newsletters, marketing emails, or waitlist check-ins to groups of leads.

πŸ’‘ To send bulk emails, you must have at least one saved list. You are unable to send emails to individuals from this view. Sending emails to individual leads must be done from their profile. Click here to learn more.

  1. From your CRM Dashboard, navigate to the Marketing tab, and then click Emails.

  2. Click the email that you want to bulk send.
    ​

  3. Click the blue Send Email button in the top right corner of the screen.

  4. The Send Email window will open. Search for the list you want to send the email to. Then click Send Email.

  5. The email will begin sending. It may take 2-3 minutes for all emails to send. Refresh your screen to view a summary of all emails sent.
