Set Up Your CRM for a New Location

How to update your CRM connections, availability, booking links, and lead routing when you add a new location

Expanding to a new location? This article walks you through everything you need to update in your CRM so the new location gets its own connections, availability, booking links, and lead routing from day one.

💡 As an enterprise, it's best practice to view and update your CRM from the Enterprise level. If you're viewing the CRM from the site level, you'll only see the leads, forms, and meetings associated with that specific site.


Connect the New Location's Communications

Before anything else, your new location needs its own phone number and connected accounts so calls, emails, and calendar invites land in the right place.

  1. From your admin dashboard, navigate to the Settings tab and click Connections.

  2. Add the new location's phone number so calls and texts route correctly. Give it a friendly name (for example, "Downtown Location") so you can easily tell which number belongs to which site.

  3. Connect the new location's email and calendar. This lets you set up invites, confirmations, and follow-ups to the right inbox and calendar.

  4. If you're using the same email, calendar, or phone number for the new location instead of a separate one, click 1 center connected next to that email and next to the phone number, then connect the additional center to it.

Set Up Availability for the New Location

Each location needs its own availability so families booking tours or meetings see accurate open times.

  1. From your admin dashboard, navigate to the Meetings tab and click Availability.

  2. Find your existing availability schedule, click the three dots to the right, and select Duplicate to use as a starting point for the new location.

  3. Update the hours to match the new location's actual availability.

  4. Connect the calendar for the new location (this should match the calendar you connected in the Connections tab above).

  5. Click Save.

🚨 Make sure this new availability is associated with the correct location. Otherwise, the meeting type you create from it won't be associated with the correct location either.


Create Meeting Types for the New Location

Meeting types generate the booking links families use to schedule tours. Each location needs its own.

  1. From your admin dashboard, navigate to the Meetings tab and click Meeting Types.

  2. Find the meeting type you want to replicate, click the three dots next to it, and select Duplicate.

  3. Update the name and select the correct availability for the new location, since this is what determines which calendar and location the meeting type is tied to.

  4. Click Save. This generates a new, unique booking link for the new location.

💡 You generally don't need to duplicate the tour or contact form itself. The same form usually works across locations, so long as it's connected to the right meeting type and routes leads correctly (see the next section).


Route Leads to the Right Location

Once you have a new location, you'll want leads that come in through your contact or interest form to route automatically to the correct site. There are two ways to set this up, depending on how your locations are set up online:

  • One shared form with a site question — Best if you have a single website that covers all locations, such as one main landing page. You add a question asking which location the family is interested in, then map each answer to the correct site.

  • A separate form per location — Best if each location has its own website or landing page. Each form routes leads directly to its assigned site, so there's no need for a site-selection question.

If you're using one shared form for all locations

  1. From your admin dashboard, navigate to your Interest Form, click the three dots, and click Edit.

  2. Add the Assigned Site property to the Lead Section of the form as a question (for example, "Which location are you interested in?").

  3. Set the values so each answer option maps to the correct site in your CRM.

  4. Click Save.

If you're using a separate form per location

  1. From your admin dashboard, navigate to each location's Interest Form, click the three dots, and click Edit.

  2. Add the Assigned Site property to the Lead Section, and set it to the fixed site that form should route to. No question is needed, since the form itself is already location-specific.

  3. Click Save on each form.

💡Adding this property is what allows leads to flow to the right location's team and pipeline automatically, instead of everything landing in one place. For more on setting up and managing properties, see Create & Manage Forms in CRM.


Set Your Center Defaults

With your new meeting types and connections in place, update your center-level defaults so the new location points to the right resources.

💡 If you were previously single-site, center fields are a new concept worth understanding. They're the pieces of information tied to each specific location, like address, listing link, and meeting type, that you can pull into emails and automations using center tags. A center tag lets you write one email that automatically fills in the right details depending on which site the family is interested in, so you don't need to write a separate email for every location.

  1. From your Enterprise CRM dashboard, navigate to the Settings tab and click Centers.

  2. Click the pencil icon next to the new location and confirm the location info (address, contact details) is accurate.

  3. Set the default enrollment listing link for the new location. If you don't have one yet, you can leave this blank. You can always duplicate your enrollment listing to the new location on the CCMS side later.

  4. Set the default meeting type to the new meeting type you created above. This matters: your automations in the next section rely on this default to send leads to the correct booking link.

  5. Click Save.

💡 If there's anything specific to a location, beyond address, listing link, or meeting type, that you'd like to appear dynamically in your emails, create a custom site property for it so you can merge it in the same way.


Update Your Automations

Automations that reference a listing or meeting link need to point to the correct location, or every lead (regardless of site) will get the same link.

  1. From your admin dashboard, navigate to the Automations tab.

  2. Review each automation template. The meeting link in each one will either be a hardcoded hyperlink or a Location Meeting Link personalization.

  3. Replace either version with the Site Default Meeting Link personalization. This ensures every lead receives the correct meeting link for the location they're assigned to.

  4. Click Save on each automation you update.

💡 Need an automation to behave differently for one location, like a different subject line or attachment? Add a condition based on the lead's Assigned Site so that branch only fires for that location.

💡 Most of your existing automations don't need major changes. As long as they're personalized with the right site properties, like the Site Default Meeting Link and any center tags from the section above, the same automation will work well across every location and adjust automatically per site.

🚨 This step is easy to miss. If an automation still has the original location's link in place, every new lead (including ones assigned to your new location) will get sent to the wrong booking page.
