Attendance Reports

Learn how to generate and understand Attendance reports to track staff presence, absences, and overall coverage.

This article walks you through the different types of Attendance reports available in Playground, how to access them, and what each report is designed to show. Whether you’re tracking staff attendance, absences, or overall coverage trends, you’ll learn how to locate the reports and use their features to get the information you need.


Generate an Attendance Report

  1. From your Admin Dashboard, navigate to the Reports tab on the left-hand side and select the Attendance tile.

  2. Choose your Report Type. See the table below for a description of all report types.

  3. Set your report parameters and then click Generate Report.

    1. Reports generated within Playground can be customized by using the ⚙️ icon to add and reorder column headers.

  4. Each report can be exported to CSV or printed by using the white buttons in the top right of the report after it has been generated. Below is a summary of each Attendance Report Type.

Report type

Summary

All Signatures

All check in and check out signatures for a student during a specific time period.

Attendance - Daily

Licensing report for sign in / out with signatures from the staff or guardian who signed for them.

Attendance - Daily (all)

Licensing report for sign in / out with signatures from the staff or guardian who signed for them. Includes morning and afternoon signatures.

Attendance - Daily (no absences)

Lists all students who were checked in but not marked absent.

Attendance - Total time

Amount of time each student was checked in per day.

Attendance Overview

Downloads a CSV with attendance by day for each student as well as averages and totals by classroom.

Attendance Percentage

Lists the attendance percentage for each student for the given date range.

Blank Attendance

Blank attendance sheet used for emergencies when there is no internet connection. Useful to print out and leave in classrooms.

Blank Attendance (All)

Blank attendance sheet used for emergencies when there is no internet connection. Useful to print out and leave in classrooms.

Check in responses

Lists all check in questions and answers.

Daily Absences

List of students who were marked absent.

Name To Face – Daily

Lists all name to face checks for the day.

No Shows

Lists students who are not checked in AND are not marked absent.

One Day Attendance Report

Report for a single day signatures report.

Overage Fee Report

Calculates the amount of time a student was checked in past the time on their schedule. Uses the overage settings set up on the schedules tab in settings.

Programs - Check ins

Shows all checkins for the days selected.

Programs - Daily

Lists the daily attendance for each student for the program.

Programs - Total

Sums up the total amount of time each student was checked in to the program.

Programs Overview

Generates a CSV with each student and day attended for the program.

Ratio

Shows the ratio of staff to students for each time interval on a given day.

Scheduled hours

Compare scheduled hours to the hours students attended.

Small blank attendance

Blank attendance sheet that has space for a checkbox or cross for each student.

Staff Signatures

List of students who were signed in or out by a staff member rather than their guardian.

Unscheduled shows

List students who showed up to school, but were not scheduled for the day.


How is an attendance report organized?

The attendance report is organized chronologically by day, with the earliest date at the top. For each day, it is further organized alphabetically by class. Within each class, students are organized chronologically, with the earliest check-in time at the top.


Printing an Attendance Report

  1. Select an attendance report type and generate the report.

  2. Click on the white Print button on the top-right of the generated report.

  3. Set the Destination, Pages, and Layout.

  4. Click Save to download it onto your desktop.

  5. Print from your desktop.



Exporting an Attendance Report

  1. Select an attendance report type and generate the report.

  2. Click on the white Export button on the top-right of the generated report.

  3. The Export data window will pop up.

  4. Select which columns to export.

    1. Check the box next to Include report information if desired.

  5. Click Download to finish exporting.
