Reports Overview

Learn about all available reports in Playground, including attendance, billing, payroll, enrollment, and operational reports, and understand when to use each one.

This guide walks through all available reports and explains what each one is designed to show. Reports are grouped by category so you can quickly find what you’re looking for. Whether you’re reviewing attendance, billing, enrollment, or operational data, this overview will help you identify the right report for the job.


Understanding Reports

The reports below are organized by category to match how they appear in the platform. Each section includes a short explanation of what the report shows and when it’s typically used. If you’re not sure which report you need, this guide is meant to help you quickly narrow it down before diving into the details.


Attendance Reports


Review check-in and check-out activity, time records, and signature history. Use these reports when you need visibility into who was present and for how long.

Report type

All Signatures

All check in and check out signatures for a student during a specific time period.

When you need a full signature log showing who signed a student in or out, including time, guardian name, and classroom.

Attendance - Daily

Licensing report for sign in / out with signatures from the staff or guardian who signed for them.

When you need a clean, day-by-day attendance record for review.

Attendance - Daily (all)

Licensing report for sign in / out with signatures from the staff or guardian who signed for them. Includes morning and afternoon signatures.

When you want the full daily attendance record with all available sign-in and sign-out data.

Attendance - Daily (no absences)

Lists all students who were checked in but not marked absent.

When you need a daily attendance report that only includes students who were present.

Attendance - Total time

Amount of time each student was checked in per day.

When you need to see how long each student was checked in during a selected date range.

Attendance – Blank AM/PM

Record student attendance twice daily with AM/PM slots, names, and ages.

When you need a printable attendance sheet with AM and PM sign-in sections.

Attendance Overview

Downloads a CSV with attendance by day for each student as well as averages and totals by classroom.

When you need a summary of days present and absent for each student over a date range.

Attendance Percentage

Lists the attendance percentage for each student for the given date range.

When you want a measurable attendance metric instead of just days present or absent.

Blank Attendance

Blank attendance sheet used for emergencies when there is no internet connection. Useful to print out and leave in classrooms.

When you need a printable weekly attendance sheet to record daily check-ins and check-outs.

Students without a schedule will appear as N/A on this report.

Blank Attendance (All)

Blank attendance sheet used for emergencies when there is no internet connection. Useful to print out and leave in classrooms.

Check in responses

Lists all check in questions and answers.

When you need to review answers submitted during the check-in process.

Daily Absences

List of students who were marked absent.

When you’re reviewing who was recorded as absent during a selected date range.

Name To Face – Daily

Lists all name to face checks for the day.

When you need a record of name-to-face checks completed throughout the day.

No Shows

Lists students who are not checked in AND are not marked absent.

When you’re reviewing attendance gaps for a selected date range.

One Day Attendance Report

Report for a single day signatures report.

When you need a printable attendance snapshot for a specific day.

Overage Fee Report

Calculates the amount of time a student was checked in past the time on their schedule. Uses the overage settings set up on the schedules tab in settings.

When you’re calculating or verifying overage charges for a date range.

Programs - Check ins

Shows all checkins for the days selected.

When you need to see how many students checked into each program during a selected date range.

Programs - Daily

Lists the daily attendance for each student for the program.

When you need to review individual student attendance within specific programs.

Programs - Total

Sums up the total amount of time each student was checked in to the program.

When you need the total time each student spent in a program over a selected date range.

Programs Overview

Generates a CSV with each student and day attended for the program.

When you need a summary of attendance trends across programs for a selected date range.

Ratio

Shows the ratio of staff to students for each time interval on a given day.

When you need to verify staff to student ratios throughout the day.

Scheduled Hours

Compare scheduled hours to the hours students attended.

When you need to compare scheduled hours to actual attendance for students.

Small blank attendance

Record student attendance twice daily with AM/PM slots, names, and ages.

When you need a simple printable attendance sheet for manual tracking.

Staff Signatures

List of students who were signed in or out by a staff member rather than their guardian.

When you need to identify students who were signed in or out by staff instead of a guardian.

Unscheduled Shows

List students who showed up to school, but were but were not scheduled for the day

Activity Reports

Review posts and activity entries recorded in the Feed. Use these reports when you need a report-style view of what has been shared or logged over time.

Report for custom post templates and all associated activity

When you need a record of entries submitted through a custom post over a specific date range.

Injury report

Lists all injuries recorded

When you need to review all documented injuries for a date range.

Lesson Activity

Creates a report of lesson activities

When you want to see which lesson activities were recorded for students.

Lesson Plan PDF

Lesson plans formatted as a PDF. Shows Monday through Friday for the selected date

When you need a print-ready version of your weekly lesson plans to share or post.

Sleep report

Lists all nap activities recorded

When you need to review recorded nap times for students.

Student Classroom Transitions

Lists all classroom transitions of students

When you need to see when students were moved between classrooms and who recorded it.


Food Program Reports

Review meal tracking and food program records. Use these reports when you need documentation related to participation and compliance.

CACFP

Generates a CSV usable for CACFP from meals recorded and student meal subsidy information

When you want to quickly see how your meals break down by Free, Reduced, and Paid before filing.

CACFP (Classroom)

Generates a CSV usable for CACFP from meals recorded and student meal subsidy information by classroom

When you’re checking that each classroom’s meal counts look accurate.

CACFP Detailed

Generates a CSV for CACFP with a row for each student for each day and which meals they received

When you need to review exactly which meals were claimed for each student.

CACFP Invalid Entries

Lists all invalid data in CACFP claims

When you need a list of meals that will be flagged in a CACFP claim and the specific error reason, so you can correct them before submitting.

CACFP Meals Served

Lists each meal each day and number of meals served

When reconciling total meals served by day or reviewing overall meal volume.

CACFP Shifts

Time sheet of meals served for the food program

When you need to confirm the time meals were logged for compliance or review purposes.

Compact CACFP Detailed

More compact version of the CACFP detailed report

When you want a simple breakdown of which students received which meals, plus totals, in a format that’s easier to review or submit.

Compact CACFP Detailed (attendance)

More compact version of the CACFP detailed report, with attendance

When you need to see both attendance and meal counts together for each student in one report.

Daily Attendance and Meal Count

Report for daily attendance and meal count. Only includes students who were checked in and served a meal that day

When you’re double-checking attendance and meal service for a single day.

Monthly Claimed Meal Count Summary

Report for monthly summary of meals for a school

When you’re reviewing total meal counts by day before submitting your monthly claim.

Monthly Menu PDF

Monthly menu formatted as a PDF. Shows calendar month for the selected date

When you need a print-ready calendar view of your full monthly menu to post or share with families.

Weekly Menu PDF

Weekly menu formatted as a PDF. Shows Monday through Friday for the selected date

When you’re preparing a clear, printable menu for a single week.


Billing Reports

Review charges, payments, and account activity for families. Use these reports when you need visibility into billing records and payment history.

Report Type

When to Use

Accounts Receivable Aging

Lists the amount of money that is owed per student and how late that payment is.

Amounts owed are categorized by if they were due 0-30 days ago, 30-60 days ago, 60-90 days ago, or 90+ days. 0-30 days indicates the money may not be overdue yet.

When prioritizing collections or understanding overdue timelines.

Accounts Receivable Aging (Non Zero)

Lists the amount of money that is owed per student, and how late that payment is. Removes all rows with no aging balance.

When focusing only on families with overdue amounts.

Check Deposits

Lists all checks.

When accounting for checks only that were recorded but not processed online.

Deposits

Lists all cash and checks that are to be deposited into the bank for a given date range. "Other" includes all other offline payments.

When comparing offline money collected vs. bank deposits.

Discounts

Summary and detailed view of discounts applied for a given period.

When reviewing how discounts impacted revenue.

Forgiven Fees

Lists all forgiven fees forgiven on a given date range.

When explaining why a family’s balance decreased without a payment.

Grouped Ledger

Ledger report with all transactions grouped by item and discount.

When someone wants a summarized breakdown of billing activity by item type. This is uploaded directly to QBO for the month-end close process.

Grouped Transactions

Shows the amount of money billed and paid for each transaction item type. The Item types are pulled from your list of saved items.

When making category comparisons without full raw detail.

Ledger

When generating this report, it will download a CSV file with every single transaction, this includes all charges and payments made.

Any column header with an ID is a Playground internal code.

Account codes can be customized under Settings > Payments in the Admin Dashboard.

The Fee column of this report refers to the Playground processing fees. If you entered an offline payment, you'll see the Type of payment made in the far right column.

When doing a deep audit or investigation where every row matters.

Monthly Subsidy

Subsidies received in the last year, by month.

When analyzing subsidy trends and monthly receipts.

Overdue Debits

List all payments that became overdue in a given date range.

When folks are inquiring when an account went off balance.

Payment Methods

Lists the payment methods in Playground per student.

This report will let you know how many payment methods the student has on file, if the guardians have enabled autopay, the default payment method if there is more than one payment method on file, and the expiration date of the payment method. If a student has more than one payment method, they will only be listed once on this report with the default payment method.

To view the student's alternative payment methods, you will need to go to the student's Payment tab on their profile.

When a customer support question involves payment method setup or expiration issues.

Payment Reversals

Lists failed ACH payments, refunds, and disputes within the given time frame

When reconciling or investigating payment issues.

Payouts

List all payout information by date.

When reconciling/comparing payouts within Playground to bank statements.

Payouts - Debits

Lists all debits that were paid for in a payout between the selected dates. Used for reconciling payouts with debits.

When a finance lead wants to match a deposit to the charges that made it up.

Received Subsidy

Subsidies received per time frame.

When reconciling agency payments received vs projected.

Revenue

Shows the total dollar amount made in revenue during a specific time period per center. This subtracts out all discounts.

When an owner, director, accountant, or treasurer asks, “How much revenue did we earn this month/quarter”?"

Revenue & Enrollment Projections

Forecast revenue and full time equivalence by month

When planning budgets, forecasting, or projecting future cashflow.

Revenue Overview

Overview of revenue over time. This calculates gross collected revenue, which does not include any refunds or disputes. E.g. a $100 payment refunded $25 will show as $100 here.

When leadership wants to see trends/seasonality or revenue growth over time.

Revenue Source

Groups the amount of money processed by each payment source per student, for a specific time period. The column headers across the top show each unique payment source with a total amount to the very right.

When someone needs to know which payment methods are contributing most.

Revenue Summary

Downloads a CSV file to your computer for the specified date range. This report has three main sections: Revenue, Credit, and Payment. Each section has categories listed underneath with a total of the section at the bottom.

The Revenue section shows all sources of income per item type. These item types can be found in your Saved Items list under Billing > Overview. The Credit section shows any credits recorded for students using the Add credit button. The Credit section does not include discounts. The Payment section includes all Offline payments itemized by payment type.

When a finance lead needs detailed revenue by item type.

Transactions

The Transactions report shows which charges have been paid off for a particular date range. The report shows three different dates:

  • Post date: date the charge was posted to guardians

  • Due date: the date the charge is due from the guardians

  • Paid date: date the payment was made

When someone asks “Which charges were paid and when?”

Transactions (credits)

Lists all credit transactions at the school.

When a director only cares about payments received.

Transactions (inc. unpaid)

Lists all transactions at the school, including unpaid debits.

When investigating both charges and unpaid balances together.


Wellness Reports

Review health logs, incidents, and medication records. Use these reports when monitoring student wellness documentation.

Coming Due Immunizations

Lists upcoming immunizations for students. Only registers if the student has a recorded birthday. Uses CDC guidelines

When you need to identify students with upcoming vaccine due dates.

Overdue Immunizations

Lists overdue immunizations for students. Only registers if the student has a recorded birthday. Uses CDC guidelines

When you need to identify students with past due vaccines.

Wellness Data

Daily wellness check responses completed in the app

When you need documentation of wellness screenings for review


Staff Reports

Review staff member records, time tracking, and payroll-related data. Use these reports when evaluating staffing activity or employment information.

Daily Staff Hours

Generates the number of hours and breaks each staff member took by day.

When you need to review each staff member’s hours and breaks for a specific day.

Paycheck Summary

Generates a summary of staff's payroll.

When you need a breakdown of a specific paycheck. Enter the paycheck date as both the start and end date, since the report runs by pay date, not by pay period.

Paycom Export

Paycom export/import using punch times. Must have a custom field titled 'Paycom Code' on staff profiles.

When you need to export punch time data for Paycom.

Paylocity Export

Paylocity export/import. Must have a custom field titled 'Paylocity ID' on staff profiles.

When you need to export payroll data for Paylocity.

Scheduled Hours

This report compares scheduled hours to the hours staff worked.

When you want to compare what staff were scheduled to work against what they actually worked.

Staff Absence report

Lists all time off for staff.

When you need a list of staff time off within a selected period.

Staff Attendance Overview

This generates an attendance report for staff.

When you want a quick attendance view for staff.

Staff Hour Overview

Staff hours overview CSV export. Row per staff, column per day.

When you need a spreadsheet view of staff hours across a date range to review totals, days worked, and absences all in one place.

Staff Hours (PDF)

Generates a PDF for the daily and total number of staff hours for each staff member in a given time period.

When you need a printable PDF of daily and total staff hours.

Staff Information

Generates a report on staff information such as name, email and classrooms.

When you need a general report of staff contact and classroom details.

Staff Pins

Lists the pin codes for check in/out for each staff member.

When you need a list of staff PIN codes for check in and check out.

Staff Training

Lists all staff trainings

When you want to review recorded trainings for staff.

Tax Deposits

Lists all tax deposits

When you need a list of recorded tax deposits.

Teacher Hours Efficiency

Shows the approximate staff to student ratio for a given day. Useful to see if staff can be moved around.

When you want to check whether staffing levels line up with student hours for a specific day so you can decide if adjustments are needed.

Total Payroll Summary

Displays individual pay runs with employee pay, taxes, and deductions for each pay date within the selected time period.

When you want to review completed pay runs with pay, taxes, and deductions, using the pay period start and end dates.

Total Staff Hours

Sums up the total number of hours and breaks each staff member took during a specific period of time.

When you need total hours and breaks worked by each staff member over a selected period.


Contact Reports

Review guardian and contact information linked to students. Use these reports when you need organized access to communication details.

Lists all contacts for each student. Useful for creating emergency contact sheets to print for classrooms

When you need a full list of all contacts tied to each student.

Primary Guardians

Lists all primary guardians for each student. Useful for creating emergency contact sheets to print for classrooms

When you only need the main guardian contact for each student.


Student Reports

Review detailed student information, including profile data. Use these reports when you need deeper insight into individual records.

Allergies and Medications

Lists all allergies and medications recorded for students

When you need a quick reference of students’ allergy and medication information for health and safety purposes.

Birthdays

Lists students with birthdays between two dates. Only includes month and day when filtering

Cognitive ToyBox export

Exports files that can be directly uploaded to Cognitive ToyBox

When you need to generate a file to upload student data into Cognitive ToyBox.

Emergency Info

Emergency contact information for students in PDF format

When you need a printable emergency contact list for students.

Emergency Info (custom)

Emergency contact information for students with custom fields

When you need emergency contact information with specific custom fields tailored to your needs.

Notes

Lists notes added to the student profile

When you want to review notes recorded in student profiles.

Pin Codes

Lists the PIN codes for each student

When you need a list of student PIN codes for check in or security purposes.

Student Assessments

Lists all student assessments. This report appears only if assessment frameworks have been set up at your location.

When you need to review recorded assessments for students.

Student Data

General student information report. Can be customized after generating using the settings icon

Paperwork Reports

Review submitted forms and stored documentation. Use these reports when tracking completion status or accessing required paperwork.

Expired Student Documents

Lists all expired student documents

When you need to identify students with expired documents so you can follow up with families.

Incomplete Docs

Lists all incomplete documents

When you want a list of all documents that have been started but not completed.

Paperwork Status

Lists the status of selected paperwork for each student. Useful for pickup or drop off to see who still needs to complete paperwork

When you want to review one specific document and see which students have submitted it and which have not.

Staff Document Status

Lists the status of selected paperwork for each staff member. Useful to see who still needs to complete paperwork

Enrollment Reports

Review enrollment activity and how your roster evolves over time. Use these reports when tracking student placement and enrollment status.

Classroom Enrollment

Number of active students per classroom, relative to capacity

When you need a snapshot of how full each classroom is compared to its capacity, including open spots and over-enrollment.

Classroom Forecast

Lists all students, their schedules, and upcoming changes based on assigned classrooms

When you want to see how each classroom will look on a specific date, including which students are expected to be in that room and any changes tied to that classroom.

Classroom Forecast (schedule)

Lists all students, their schedules, and upcoming changes based on schedules

When you want to review student schedules for a specific date and understand how those scheduled days calculate into FTE.

Enrollment Changes

Lists all enrollment changes

When you need to review who recently started, withdrew, or made changes to their enrollment during a specific time period.

Enrollment Changes Summary

When you need a high level count of how many students started or withdrew within a selected date range.

Enrollment Summary

Information relating to aggregate enrollment data

When you want a quick snapshot of overall enrollment activity, like how many new applicants you’ve had over recent time periods.

Forecast Enrollment

Lists the count of students per classroom for each weekday

When you want to see projected student counts for each classroom by day to help plan staffing and coverage for the week.

Program Enrollment

Count of students enrolled in each program

When you want to see how many students are enrolled in each program at a glance.


Expense Reports

Review day-to-day expenses that have been entered manually or tied to expense cards. Use these reports when tracking operational spending.

Custom Reports

Review exactly the data you want by choosing your own fields and filters. Use these reports when the standard reports do not cover what you’re looking for.

When you need to build a specific list that is not available in a standard report. This is helpful when you want to combine selected fields, apply filters, and pull targeted student or guardian information into one custom view.


Aggregate Reports

Generate calculated totals based on selected criteria. Use these reports when you need summarized numbers rather than detailed records.

Used to calculate totals by applying filters to a selected field, such as counting how many records meet specific criteria.

When you need a total based on specific criteria, rather than a detailed list. For example, if you want to know how many students meet a certain condition, you can apply filters and generate a single calculated result instead of reviewing individual records.
