Learn how to edit staff information, customize staff profiles, disable staff, assign classrooms, and more.

Playground's Staff tab empowers administrators to efficiently manage staff information. Easily edit, delete, deactivate, or disable staff profiles at any time. Additionally, administrators can download the current roster as an Excel file for convenient record-keeping.


Add Staff

Admins can add staff to Playground one at a time or via a roster upload. Click here to see all options for adding staff to Playground.

🚨 When a staff member is added to Playground they will automatically receive an invite email to create their Playground account.


Staff Table

The staff table shows a list of your staff and some of their information. You can click on a staff member's name from the table to navigate to their profile. Use the pencil icon to make quick edits to a staff member's information.

Customize the Staff Table

  1. From your Admin Dashboard, click My School and then click Staff.
    ​

  2. Click the cog wheel icon in the top right corner of the staff table. The Adjust Table Headers sidebar will open.
    ​

  3. Toggle on any headers that you would like to see in your table.
    ​

  4. Change the order of the headers by dragging the six dots to the left of the header name.
    ​

  5. When you are satisfied with your changes, click the X in the upper right-hand corner to return to your table.

Filter the Staff Table

  1. From your Admin Dashboard, click My School and then click Staff.
    ​

  2. From the Staff Table, click the white Filters button in the upper right corner of the table.
    ​

  3. Select the filters you would like to use.

    1. Role: View staff members with a specific role.

    2. Active: View active, inactive, or all staff.
      ​

  4. Click the blue Done button to save your filters.

Download the Staff Roster

The staff roster can be downloaded as a .CSV file.

🚨 The roster will include all active and inactive staff members. Filters will not apply to the downloaded roster

  1. From your Admin Dashboard, click My School and then click Staff.
    ​

  2. Click the blue Download Roster button in the top right corner of the table.
    ​

  3. The .CSV file will download to your computer.


Understand the Staff Profile

You can navigate to a staff member's profile by selecting their name from theΒ Staff Table. Below is a description of the information available on each tab of the Staff Profile.

Overview

  • Employee basic details (name, address, birthday)

  • Staff custom fields

  • Transition log

  • Email History

  • Admin notes

Hours

  • Staff schedule

  • Sign-in history

Paperwork

  • Forms, Fillable PDFs, and File Requests

Payroll

  • Deductions

  • Direct deposit information

  • Pay history

Settings

  • Staff role

  • Start Date

  • PIN code

  • Pay settings

  • Disable/delete staff member


Edit Staff Information

  1. From your admin dashboard, click My School and then click Staff.
    ​

  2. Click the pencil icon next to the staff member you want to edit. The Edit Staff window will open. You can also access this window by navigating to the staff profile and clicking the blue Edit Information button in the top right corner of the screen,
    ​

  3. When satisfied with your changes, click the blue Save button.

πŸ’‘ You can edit staff information directly from their profile. Simply type new information into the fields in the Employee Information section and click Save to confirm your changes

πŸ“± To edit staff information on mobile, navigate to the staff directory, tap the employee you want to edit, click Edit, and then click Done when you are satisfied with your edits. Only name, email, phone number, and role can be edited from mobile

🚨 Admins cannot edit Staff Profile Photos. Only staff can add or update their profile photo.


Customize the Staff Profile

The staff profile can be customized by adding custom fields and reordering those fields.

Add a Custom Field to Student Profiles

  1. From your admin dashboard, click My School and then click Staff.
    ​

  2. Click on any staff to navigate to their profile.

    1. Once a custom field is added to one staff, it will be visible on every staff member's profile.
      ​

  3. Click the blue + Add Fields button in the top right corner of the Custom Fields section.

  4. The Add Field window will open. See below for a description of each option in this window:

    1. Custom Field Type: Select the type of answer that will be entered in this field (Ex: short text, phone number, email, date, single choice, multiple choice)

    2. Custom Field Label: Type a label for the field.

    3. Role visibility: Select who this information will be visible to (admin and teachers).
      ​

  5. Click the blue Save button to add the field.

Edit or Delete Custom Fields

  1. From your admin dashboard, click My School and then click Staff.
    ​

  2. Click on any staff to navigate to their profile.

    1. Once custom fields are deleted or edited for one staff, they will be deleted or edited on every staff member's profile.
      ​

  3. Hover the custom field label, and a gear icon will appear. Click the gear icon and then click Edit or Delete.

    1. If editing the field, the Edit Custom Field window will open. Make the desired changes and then click Save.

🚨 When a custom field is deleted, all data associated with that field will be lost.

Reorder Custom Fields

  1. From your admin dashboard, click My School and then click Staff.
    ​

  2. Click on any staff to navigate to their profile.

    1. Once custom fields are reordered for one staff, the new order will be visible on every staff member's profile.
      ​

  3. Hover the custom field label, and a gear icon will appear. Click the gear icon and then click Sort.

  4. The Sort Custom Fields sidebar will appear on the right side of your screen.
    ​

  5. Use the six dots next to the field name to drag and reorder the fields.

  6. Click the blue Save button at the bottom of your screen to save the new order.


Assign Staff to Classrooms

Staff can be assigned to classroom one at a time or in bulk. Staff can also be assigned to multiple classrooms.

πŸ’‘ If you have the School-wide Visibility setting turned off for teachers, they can only view the students in the classroom they are assigned to.

Assign Classroom for a Single Staff Member

  1. From your admin dashboard, click My School and then click Staff.
    ​

  2. Click the pencil icon next to the staff member you want to edit. The Edit Staff Member window will open.
    ​

  3. Click the classroom field to select all classrooms the staff member should be assigned to.
    ​

  4. Click the blue Save button to confirm.

πŸ’‘ Staff members can be assigned to multiple classrooms.

Assign Classroom for Staff in Bulk

  1. From your admin dashboard, click My School and then click Staff.
    ​

  2. Select the checkboxes next to the staff members that you would like to assign to a class.
    ​

  3. From the top grey bar of the table, select Assign Class.

  4. Select the classes that you would like to assign and then click Save.


Transition a Staff Member to a new Classroom

Staff can only be assigned to one Current Classroom. A staff member's current classroom should reflect the classroom they are physically in. A staff member should be transitioned to a new classroom when their physical location moves.

  1. From your admin dashboard, click My School and then click Staff.
    ​

  2. Select the checkboxes next to the staff member(s) who you want to transition.
    ​

  3. From the top grey bar of the table, select Transition.

  4. Select the classroom you would like to transition the staff to, then click Save.


View Staff Email History

Administrators can view a record of all emails and reminders sent to staff members.

  1. From your admin dashboard, click My School and then click Staff.
    ​

  2. Click on the staff member whose email history you want to view.
    ​

  3. Scroll down to the Email History section at the bottom of the staff member's profile.

  4. Click Click to Load Email History.

  5. A table with a list of emails, date sent, status, and open history will appear.

  6. If the staff member is subscribed to emails, a blue Subscribed label will show in the top right corner of the table.

    1. To unsubscribe the staff member, click the red Unsubscribe button.


Delete a Staff Member

🚨 Deleting a staff member is a permanent action that will remove all staff data from Playground. Staff members with payroll history cannot be deleted.

  1. From your admin dashboard, click My School and then click Staff.
    ​

  2. Click the staff member that you want to delete.
    ​

  3. Click the Settings tab of their employee profile.

  4. Click the red Delete button at the bottom of the page. The Remove Staff window will open. Click the red Delete button to confirm the action.


Disable a Staff Member

Disabling a staff member restricts them from logging into Playground and will remove their classroom assignments.

πŸ’‘ Employees with payroll history will retain the ability to log into Playground, but their access will be restricted to payroll.

  1. From your admin dashboard, click My School and then click Staff.
    ​

  2. Click the staff member that you want to disable.
    ​

  3. Click the Settings tab of their employee profile.
    ​

  4. Click the red Deactivate button at the bottom of the page. The Deactivate Staff window will open. Click the red Deactivate button to confirm the action.

    1. If the employee is enrolled in payroll, you will also have the option to deactivate payroll.
