Billing Plans Overview

Playground makes it incredibly easy to track all charges posted, discounted, and coming due. There are different views to see how much has been billed and how much is coming due in total and per student. Additionally, this article covers how to see what billing plans are coming to an end and how to make sure all students have active billing plans.


Statements tab

This view shows all charges posted or scheduled to post to a student's balance. This view is great for seeing balances summarized per student. For itemized breakdowns of each transaction, read below about the Transactions tab.

At the top of the statements tab, filter by All statements, Unpaid, Overdue, and Family statements.

All statements

List of all students.

Unpaid

List of any students with unpaid balances that are either due soon or overdue.

Overdue

List of any students with overdue balances.

Family statements

List of all balances grouped by families. This combines multiple siblings into one family row.

Under All statements, aggregated stats to provide high level insights into your families' billing account health

Amount currently due

Total amount posted to family accounts, that hasn't been paid yet. This includes overdue amounts.

Amount overdue

Sum of all overdue balances.

Autopay enabled

Percentage of active students with a guardian that has autopay enabled. Inactive students are and those exempt from autopay are excluded from the total. A split family with only one group enabled is counted as 0.5.

Breakdown of a student row

The following table explains the financial information that can be pulled into this view. This view is typically used to quickly identify any issues with autopay, balances, and charges. This view makes it incredibly easy to see information like upcoming due dates or most recent payments. Billing administrators can also use filters to view students based on their classrooms, programs, status, and autopay status.

Name

Student's name

Status

Current balance status (Paid, Due soon, Overdue). Hovering over the status badge shows additional details about the billing period and any outstanding or overdue charge details.

Total charged

Sum of total charges on the student's balance, including both posted and unposted charges.

Total paid

Sum of total amount paid, including both online and offline payments.

Balance

Current balance, only includes charges posted for the current billing period.

Balance (period)

Balance for the current billing period, including unposted amounts for the current period.

Overdue

Total amount past due.

Autopay

Autopay status (Disabled, Enabled, Exempt) and hover to see who updated autopay last & if there are any limits. A student's autopay status may change over time. Playground automatically tracks and records all changes made to the autopay status, in case a billing administrator needs details about what changes were made, by whom, and when.

Actions

Click the ellipses (. . .) to access the following actions:

  • View - navigate to student profile

  • Send statement - generate and share a statement with the relevant guardians on the account for the specified date range

  • Autopay settings - view the update history on a student's autopay status

Optional table headers below

Add by clicking the ⚙️ icon to add & reorder additional table headers

Next autopay

Next date autopay runs for that student's balance, will run for the period balance. Runs for anything posted to the balance.

Next due date

Next charge due date. If there are no charges due in the future, it will show up empty as a dash -

Next post date

Next post date. If there are no charges set to post in the future, it will show up empty as a dash -

Last due date

Most recent date a charge was due. Used to help determine when the last charge was due for a child. If a child was never billed, it will show up empty with a dash -

Last post date

Most recent date a charge was posted. Used to help determine when the last charge was posted for a child. If a child was never billed, it will show up empty with a dash -

Last payment

Most recent payment transaction date and useful to see if a child has ever made a payment.


Debit Transactions

The debit transactions view on the Transactions tab, will show administrators the total amount billed, discounted, and due for the given date range. This view can also be filtered by classrooms, programs, and due date ranges.

While the Statements tab is helpful for identifying student balances, the Transactions tab is helpful for seeing all charges posted to student balances.

Under Debits, aggregated stats to provide high level insights into total charges, total credits, and total amount due for the filtered date range.

Total Charges

Total amount posted to family accounts, that hasn't been paid yet. This includes overdue amounts.

Total Credits

Total amount discounted.

Amount Due

Total amount due from families.

Breakdown of a student row

This view is typically used to view individual charges created and makes it easy to view upcoming billing plans along with individual charges. It makes it easy to view charge & discount amounts, invoice date, due date, service dates, and GL code. Billing administrators can also use filters to view students based on their classrooms, programs, due dates.

Discount amount, will deduct from the student balance as a credit

Invoice Date

Date the charge is posted to the balance and becomes visible to the family

Date Due

Date the charge amount is due

Discount Name

Will show up if any discounts are applied

Discount Description

Will show up if any discounts are applied and have descriptions added

Service Start

Will show up if service start date is added. Represents the first date of service the charge is for.

Service End

Will show up if service end date is added. Represents the last date of service the charge is for.

GL Code

Will show up if the charge has an associated general ledger code
