Review Billing Alerts and Billing Reminders

This guide introduces the new Billing Alerts & Reminders feature within Playground’s billing system. It’s designed to help administrators stay proactive by highlighting billing plans that are ending soon, flagging students without active plans, and enabling quick action directly from the Billing homepage.

You’ll learn how to customize alert criteria, extend or modify billing plans, and apply filters such as classrooms or age to streamline your view. This update is built to reduce manual tracking and ensure every student is accounted for in your billing setup.


Navigate to Payments Homepage

  1. From your Admin Dashboard, navigate to Billings tab on the left-hand side.

  2. Click Overview.

  3. The payments homepage will pop-up with Billing alerts and a table will appear with a list of students.


Customize Your Table

  1. Navigate to the gear ⚙️ icon on the right side of the table.

  2. Click on ⚙️ to open up the column.

  3. Click on the eyeball to hide preferred columns.

  4. Click on the eyelash to make preferred columns visible.

💡 These column settings are unique to the user and won't reflect on other screens that are signed in.


Set the Criteria

The Billing Overview tab automatically highlights two types of students:

  • No billing plans – Students who do not have any recurring billing plan on their account.

  • Ending soon – Students with 2 or fewer unposted installments remaining in their current billing plan. This alert helps you stay ahead before a plan fully ends.


Add Filters

  1. On the right hand side, you can filter the Billing alerts table.

    1. There are three filter options.

Classrooms

View students in specific classrooms.

Status

View students with an active or inactive status.

Programs

View students in specific programs.

💡There is an automatic filter set to only show Active Students.


Take Action from the Billing Overview

Clicking the three-dot menu (···) next to a student’s name in the Billing Overview gives you three options:

  1. Extend billing plan – Add more installments to an existing billing plan.

  2. Create billing plan –Select this option to start a new billing plan.

  3. Go to student profile – Jump straight to the student’s billing tab to view their full ledger or take additional actions.

To extend a billing plan:

  1. Click Extend billing plan from the menu.

  2. In the extend billing plan window, click the blue Edit button to update the Debit item.

  3. Select the new debit start date.

  4. Select the final debit due date.

    • The number of new installments that will be created appears at the bottom.

  5. Click Extend billing plan to save.

💡The Extend billing plan option is only available for students listed under the Ending soon alert. If a student appears under No billing plans, you’ll need to use the Create billing plan option instead.

Create billing plan

Use this to start a new billing plan for any student.

  1. Clicking this option will redirect you to the Create Debits page within the Statements tab.


  2. Click here to follow the steps to create a debit on that page.

Go to student profile

Use this to navigate directly to the student’s billing tab.

  1. Clicking this option will open the student’s profile on the Billing tab.

  2. From there, use the Billing actions dropdown to select the desired action.


Change Billing Frequencies in Bulk

  1. From the Billing Overview screen, click on the blue Create debits button.

  2. The Add students menu will appear.

  3. Use the search bar to locate students.

    1. If selecting all students, click the box on the left side of First name

  4. When students are located, click on the box on the left side of their name to select them.

  5. Click Edit billing frequency.

  6. Select billing frequency.

    1. You can set the frequency to Weekly or Monthly.

  7. Click Update.

💡If you wish to notify guardians of any changes made, click on the box on the right side next to Send guardians notification
