Paperwork & Forms Overview for Multi Site Admin

Understand how Paperwork and Forms work at the enterprise level, including the four paperwork types, how to share documents across locations, and how to track completion

The enterprise Paperwork tab gives Multi-Site Admins one place to create, manage, and distribute student and staff paperwork across every location. No need to set up the same documents in each center individually.


General Information

  • Paperwork is created and managed centrally: All four types of paperwork (Forms, Fillable PDFs, File Requests, and Resources) can be created from the enterprise Paperwork tab and shared to any or all of your locations.

  • Sharing is controlled per document: Each piece of paperwork can be assigned to specific sites using a yes/no toggle or by tags. Recipients (families, staff) are also set per document.

  • Paperwork is split by audience: The Paperwork tab is divided into Student paperwork and Staff paperwork. Student paperwork is completed by families; staff paperwork is completed by staff members.

  • Individual centers can also create paperwork: Centers can create their own local paperwork that isn't shared org-wide. Enterprise-level paperwork is managed separately.

  • All paperwork types support electronic completion: Families and staff complete paperwork within Playground on the web or mobile app. No printing or manual collection required.


The Paperwork Tab

From your enterprise dashboard, click Paperwork in the left sidebar. Select Student paperwork or Staff paperwork to see all documents created at the enterprise level. From here you can create new documents, view completion status, and manage which sites have access to each document.


The Four Paperwork Types

Playground supports four types of paperwork, each suited to a different use case:

  • Forms: A set of questions that families or staff must answer. Great for enrollment questions, health histories, emergency contacts, or any information you need to collect. Learn how to create Forms.

  • Fillable PDFs: Existing PDF documents (like contracts or permission slips) that families or staff complete digitally within Playground. Learn how to create Fillable PDFs.

  • File Requests: A request for families or staff to upload a file (PDF or photo), such as an immunization record or ID. Learn how to create File Requests.

  • Resources: View-only documents shared with families or staff, such as a handbook or policy document. No completion required. Learn how to create Resources.


Sharing Paperwork Across Locations

Once paperwork is created at the enterprise level, you control which sites see it and who receives it. Click on any document in the Paperwork tab to open its sharing panel. A drop-down shows every site in your enterprise. Toggle the Assigned column on or off for each location. You can also assign by tags, which automatically includes all matching sites.

The Recipients column controls who the document is sent to at each site, families, staff, or both. Click the text in the Recipients column to adjust this per site.
