Growing to multiple locations is exciting, and it comes with a shift in how your Playground account is structured. This article walks through what changes when you move from a single site to an Enterprise account, so you know what to expect before you make the switch.
What Is an Enterprise Account?
When you operate a single site, your account and your location are the same thing. Once you add a second location, Playground moves you into an Enterprise structure:
The Enterprise is the umbrella over your whole organization.
Each individual site is called a center or location, and sits underneath the Enterprise.
Users who need access across every location are called Enterprise Admins.
You'll now have an Enterprise Dashboard in addition to the dashboard for each individual center, and Enterprise Admins can switch between locations without logging out.
Enterprise Admin Access
An Enterprise Admin has full visibility across every location and can move freely between them, with no permission limits at the Enterprise level. Because Enterprise Admins sit above the site level, they:
Cannot clock in
Cannot be paid through payroll
Do not function as staff at a specific location
What Happens to Your Existing Site Data
If you're converting an existing single site into the first location of a new Enterprise, here's what happens to your existing setup:
Roles — All role settings move to the Enterprise level. Editing roles and permissions at the center level is no longer possible.
Custom fields — Custom fields can be managed at the Enterprise level.
CRM — If you already have CRM set up at your original site, it may need to be reconfigured once you're on the Enterprise structure. See Set Up Your CRM for a New Location for details.
🚨 These changes apply as soon as your site is converted, so it's best to review your roles, custom fields, and CRM setup at the Enterprise level right after your account is converted.
Billing
You can create billing items and discounts at the Enterprise level and apply them across all of your sites, instead of setting them up separately at each location.
🚨 Once your new site is added, go to that site and sign up for Stripe right away so it's ready to accept payments.
Payroll & Banking Considerations
If you run payroll or manage payouts across multiple locations, keep these in mind:
EIN — Each location needs its own EIN to run payroll independently. Playground can't process payroll for multiple sites under the same EIN.
Payout bank account — Locations can share the same bank account for payouts or use separate accounts, depending on how your organization is structured.
It's helpful to confirm both of these with your finance team before your Enterprise account is set up.
Paperwork
You can now upload documents at the Enterprise level and assign them to specific sites, rather than uploading the same paperwork separately at each location. See Manage Paperwork at the Enterprise Level for details.
💡 If you already have paperwork set up at your original site, we recommend duplicating it to your new site instead of starting from scratch, which can be done from the original site's Paperwork tab.
Enrollment
You can view enrollment statuses across all of your locations from the Enterprise level, but editing and managing enrollment itself is still done at the site level.
You can duplicate an enrollment listing from your original site to a new site to save time.
🚨 After duplicating a listing, be sure to update the name, dates, pricing, and any other site-specific details before it goes live.
FAQs
Can I keep my location-level account after I become an Enterprise Admin?
Can I keep my location-level account after I become an Enterprise Admin?
Yes. Instead of converting your existing account, ask to keep it as-is and set up a separate Enterprise Admin account using a different email address. This is required if you're paid through payroll, need to clock in, or are also a guardian in the system.
Can a center override a setting that's controlled at the Enterprise level?
Can a center override a setting that's controlled at the Enterprise level?
Yes. Centers can override some Enterprise-level settings to fit their own location. If an Enterprise Admin later changes that same setting at the Enterprise level, the update will apply to the center. Other settings the center has customized are left alone.
