Multi-site Onboarding Guide

A step-by-step guide to setting up and using Playground as a multi-site Admin or Owner.

An enterprise, in Playground, is a group of 2 or more individual dashboards. Centers that typically require an enterprise setup include:

  • Multi-location centers

  • Centers with multiple programs running that cannot commingle accounting

  • Centers with separate tax IDs


Unique Features for Enterprise Accounts Only

  • Enterprise-level admins can navigate to multiple dashboards with one login

  • Settings on the enterprise-level will become the default settings for all dashboards within the enterprise

    • For example, Roles will be set on the enterprise-level and then trickle down to individual dashboard roles

  • Enterprise-level admins can view stats across centers or dashboards. They can also run reports on the entire enterprise or group of centers

  • Enterprise-level admins cannot clock in and out at this time


Complete the Enterprise Locations and Users spreadsheet

🚨 The Google Sheet is a View-Only document. In the top left, click "File" and then click "Make a copy" to make your own personal copy of the sheet.

  1. HERE is the link to complete your enterprise spreadsheet.

    • On the first tab, titled "Company Information", enter the overarching business information.

    • On the second tab, titled "Locations", you'll list each of your sites as a separate row. Every field is required in order to add a location to Playground.

    • On the third tab, titled "Enterprise users", you will list all enterprise-level admin that should be added to the account. An enterprise-level admin has full account access. This means they can see and click into every location. This level of access includes editing general settings for all sites and viewing payment information.

💡 Once completed, let your Onboarding team know so they can begin creating your Playground dashboard. You can expect to receive an invitation to create your enterprise user account via email.


Configure Settings for All Sites

  1. Once invited to your enterprise dashboard, navigate to the Settings tab. Go through the settings that you'd like to apply to all sites.


Add Center-level Staff

💡 A center-level admin is a user that has access to a single site, as opposed to an enterprise-level admin that has access to all sites.

  1. Under the enterprise-level settings, navigate to the Roles tab to add and configure user permissions across all sites. By default, you will already have enterprise-admin, administrator, and teacher roles created.

  2. Once the users and permissions are configured, add the Administrators to their respective locations.

  3. Either you or the site-specific Admins can add the remainder of their staff members to the site.

  4. Have every teacher watch the Staff Training video to make sure they are prepared to use the app.

🚨 All staff are sent an invitation to Playground immediately via email. Please have the staff check their Spam folder if they do not see the invite in their Inbox.


Set-up Billing

All sites use one bank account

  1. Sign up for Billing on one location

  2. Let your Onboarding team know once completed so they can copy this information to all sites.

All sites have a unique bank account

  1. Sign up for Billing on every location so you can enter that specific location's unique bank information

Once signed up, you can begin entering Enterprise-level billable items.


Paperwork

If there is paperwork that you would like to pre-load to every center's account, you'll create Enterprise-level paperwork. Once added, the paperwork can be assigned to groups of specific sites or all sites.


Add Additional Sites

  1. Click "Add center" in the top right corner of your screen

  2. The Add Center window will appear. You'll have two options to choose from:

    1. Select a school to copy from: this option allows you to copy many fields from another existing location so that you do not have to recreate this site from scratch if it shares similar qualities to an existing site

      1. Items that can be copied over are included in the screenshot below:

    2. Start from scratch: this option just requires your name, the new site's name, and state to add the center to your dashboard. It will create a brand new blank dashboard

  3. Enter the required information from either of the above options and click "Done" when completed

  4. The new location will be appear on your Enterprise dashboard so you can manage all locations from one place


Switch From a Single-site Admin to a Multi-site Admin

If a one-site admin has acquired additional locations and would like one login account to view all sites, they will need to transition to an enterprise-level admin.

The single-site admin account will need to be deleted and a new enterprise-level admin account will be created. We are not able to migrate existing center level admin accounts to enterprise level accounts.

🚨 Please note the changes that will occur with the switch from center admin to multi-site admin:

  • The admin will need to create a new enterprise-level admin account

    • This can only be done after their center-level admin account has been deleted by the Playground team

  • The enterprise level admin will need to create new chats

    • All existing chats and group chats will not be migrated

  • Enterprise level admins lose the ability to clock-in or out

    • One the single-site admin account is deleted, all previous clock-in and outs will be deleted for the admin. Please be sure to download this data if it is needed in the future

  • Enterprise staff can only switch between center, not accounts (ie. switch to a teacher or parent view)

In order to make this transition, please contact Playground support to let us know the best date and time to handle the migration. It takes about 10 minutes, but the staff who are migrating from center to enterprise-level will not be able to use Playground until they create new accounts.
