Let families upload their own documents

File Requests are used for asking guardians to upload paperwork, like health forms that need a doctor's signature, through the app. You can track which guardians have submitted the specific document and view and download the File Request once it has been uploaded. Both primary and secondary guardians can upload File Requests for their students.

How to add a New File Request template

On the Administrator Dashboard, navigate to the Paperwork tab on the left-hand side. Click the blue "Create" drop- down menu and then click "New file request" in the top right corner.

You'll be brought to the New document for parents to upload window. Here you will want to name the File Request you are requesting. Next, you will want to add a description of what you're requesting so parents know exactly what to upload. Once completed, click the blue “Create Document” button in the bottom right corner.

The File Request you just created will appear on the File Requests tab of the Paperwork screen. From this page, you’ll be able to keep track of how many submissions you’ve received per request. All new File Request are set to a “Visible” status by default. This means guardians will be able to see and upload the File Request in the “Documents” section of the parent app.

Viewing a specific File Request page

You can click into any File Request from the File Requests tab. In the search bar, you can search for a specific student by first or last name. You can filter by class or active status. You can also sort by any column header.

There are two status options for all uploaded File Request. Every File Request begins in the “Not Started” status. Once the File Request has been uploaded by either the guardian or the administrator, the status will change to “Submitted”.

How to Manually Upload the Document

If a guardian completes a requested File Request in person or you would like to upload on their behalf, click on the blue “Upload file” button next to the specific student’s name. Alternatively, you can click the three dots to the very right of the student’s name and then click the “Upload file” option. Either of these options will open an Upload a document screen where you’ll be able to select the file you wish to upload. Be sure to click “Save” once the file has been selected.

How to remove a File Request if uploaded incorrectly

Click into the specific File Request template from the File Requests tab. Find the student who’s file you wish to delete. Select the three dots to the right of their name and click the “Delete” button. Confirm you would like to delete the uploaded File Request by clicking the red “Remove Item” button. Deleting an uploaded File Request will place the File Request status back to “Not Started”.

If you would like to remove the ability for guardians to upload a specific File Request from the parent app but keep the submissions you've collected so far, select the three dots to the right of the File Request you wish to hide. Click the “Hide” button. The File Request will switch to a “Hidden” status and is removed from the parent app as an uploadable File Request. To reopen the File Request, select the three dots and click "Show".

If you would like to delete the template altogether, including submissions previously submitted, click the three dots to the right of the File Request and then click “Delete”.
