Request documents to be uploaded by guardians and view guardian submissions

File Requests enable guardians to upload necessary paperwork, such as health forms requiring a doctor's signature. This feature allows you to track which guardians have submitted the required documents and provides the ability to view and download the submitted files.

💡 Both primary and secondary guardians can use File Requests to upload documents for their students.


Add a New File Request Template

  1. On the Administrator Dashboard, navigate to the Paperwork tab on the left-hand side of your screen. Click the blue Create button in the top right corner of your screen and then click New file request. A New file request window will appear.

  2. Name your document and provide a description so guardians know exactly what to upload.

  3. Customize your file request settings. You can make the file request optional, add an expiration date, require administrator review, and assign an email to be notified upon each submission.

  4. Finally, you may upload an optional file to prompt users to view or download. This is useful for health forms that must be printed and completed by a doctor.

  5. Click Create file request. The file request will now appear in the File Request tab of the Paperwork screen.

🚨 All new File Requests are set to Visible status by default. This means guardians can see and upload the File Request in the Paperwork section of the parent app. To hide a file request from guardians, click the three dots next to the file request and click Hide.


Manage Recipients of a File Request

  1. On the Paperwork tab of your Admin Dashboard, click File Requests and click the file request that you would like to edit.

  2. Click the blue Edit Recipients button in the top right corner of your screen.

  3. File requests can be visible to everyone or to specific groups. Select specific groups and then select the classrooms, programs, or listings you would like the file request to be visible to.

💡 If you would like to select guardians from a listing as document recipients, you will need to add this document to the Required document section of the listing itself.


Send File Request Reminders

  1. From the File Request tab on your admin dashboard, select the specific file request for which you want to send reminders.

  2. Select the check boxes next to the names of the students you would like to send reminders to.

  3. Click Send from the grey bar at the top of the table. The guardians will receive an email reminder for the file request.


View and Download Completed File Requests

Click on the desired File Request from the File Requests tab of the Paperwork screen. Here you will see an overview of all students the file request is assigned to. Click on the blue View text to see a copy of the uploaded file.

Download Individual File Requests

Click on the three dots next to a student's name and then click Download. The document will download as a PDF.

Download a CSV File

Click on any file request, click the white Download button at the top right corner of your screen, and then click CSV responses. The CSV file will contain the student's name, classroom, submission status, and a link to a PDF of the completed document.

Download All Submitted File Request

Click on any file request, click the white Download button at the top right corner of your screen, and then click Image Responses. A zip folder containing all submitted file requests will download.

💡 This option will download all submitted file requests, not just the specific one you are currently viewing.


Upload a File Request on Behalf of a Guardian

To upload a file request on behalf of a guardian, click on the blue Upload file button next to the student’s name. Choose the file that you would like to upload and then click Save.


Delete a File Request Submission

If a guardian uploads the wrong document to the file request, you can delete the uploaded file.

  1. Click into the specific File Request template from the File Requests tab and find the student whose file you wish to delete.

  2. Select the three dots to the right of their name and click Delete.

  3. Confirm you would like to delete the uploaded File Request by clicking the red Remove Item button.

🚨 Deleting a submitted file is irreversible. Do not delete a file request unless you are certain it must be permanently removed.
