How to get started as a multi-site Admin or Owner

The guide below should be utilized to Get Started for Enterprise accounts only.

Complete the Enterprise Locations and Users Spreadsheet

HERE you will find a view-only Google Sheet with two tabs. In the top left, click "File" and then click "Make a copy" to make your own personal copy of the sheet. On the first tab titled "Locations", you'll list each of your sites as a separate row. Every field is required in order to add a location to Playground.

On the second tab, titled "Enterprise users", you will list all enterprise-level admin that should be added to the account. An enterprise-level admin has full account access. This means they can see and click into every location. This level of access includes editing general settings for all sites and viewing payment information.

Once completed, let your Onboarding team know so they can begin creating your Playground dashboard. You can expect to receive an invitation to create your enterprise user account via email.

We recommend bookmarking the following website to a Chrome or Safari window so you always have access to Playground: https://app.tryplayground.com/signin/.

Add Center-level Admins

Add the Administrators of each center on their location's Staff tab. Admins are sent an invitation to Playground immediately via email. Once the location is ready, Admins can add the remainder of their staff members.

Have every teacher watch the Staff Training video to make sure they are prepared to use the app.

Billing

Sign Up for Online Payments

If you utilize one bank account to collect guardian payments, across all locations, click into one of your locations and sign up for Billing using the instructions below. Let your Onboarding team know once completed so they can copy this information to all sites. If each location utilizes a different bank account, you'll need to do the Billing sign-up on every location so you can enter that specific location's unique bank information.

The first step in using Playground's billing and payments functionality is signing up for online payments. This step takes about two minutes to complete. You'll know this step is finished when you see multiple tabs open up under the Billing header in your Admin Dashboard, as seen below.

Even if you do not plan to have guardians pay you online (credit card, debit card, or ACH), it is beneficial to sign up for billing in order to utilize the billing functionality, like tracking charges and offline payments (cash, checks, Venmo, etc). This also allows you to provide guardians with end-of-year tax documents.

Once signed up, you can begin entering Enterprise-level billable items.

Paperwork

If there is paperwork that you would like to pre-load to every center's account, you'll create Enterprise-level paperwork. Once added, the paperwork can be assigned to groups of specific sites or all sites.

Add additional sites

Congratulations! If you purchase or open additional centers, you'll add these sites directly to your Enterprise dashboard.
